INVOICING ASSISTANT

JOB DESCRIPTION

* Ensures that the information of the client in the database is updated.

* Receive Purchase Order (PO) and/or Sales Order (SO) and validates the correctness of the details.

* Prepares invoices and delivery receipts for clients and customers.

* Tracking payments and act as a cashier in receiving cash payments from clients.

* In-charge of receiving payments from clients, transmit and remit all of her received payments from clients on a daily basis.

* In-charge in preparing daily collection summary including cash collection, deposit slips or any proofs of payment to be attached in the report.

* Reporting issues or irregularities to the Finance Head of the company.

* Conduct weekly review on pending Sales Order (SO) and Purchase Order (PO) with the sales team and with the PPIC Officer and Inventory Planner.

* Coordinating with the Logistics Department and ensuring that goods are dispatched on time and proper documents are issued to the delivery personnel.

* Maintaining of Records of Invoices for countering to customer by the sales agent.

* Organizing and managing of documents such as Invoices, Delivery Receipts and Acknowledgment Receipts.

* Posting of SI and DR in the subsidiary ledger envelop of costumes - and proper recording of details.

 

 

 

   

JOB QUALIFICATION

* Bachelor's Degree in Sales and Marketing or any Business Course, preferred.

* 1-2 years of experience in clerical office or administrative works.

* Experience as an Invoice Clerk or in General Accounting is preferred.

* Proficiency in MS Office (especially Excel) and working knowledge of Accounting software.

* The ability to consistently meet deadlines and to work well under pressure.

* Excellent organizational skills and attention to details.

* The ability to handle customer querries calmly.

* The ability to work independently or as part of a team. 

* Proficient in Microsoft Office applications.

* Ability to make decisions and evaluations to determine the needs of the customers.

* Excellent customer relations skills.

* Treats all employees and customers with dignity, respect and courtesy.
