JOB DESCRIPTION

  • Provides high-level administrative support and assistance to the Executive Director and/or other assigned leadership staff.
  • Performs clerical and administrative tasks including drafting letters, invoices, reports, and other documents for CEO.
  • Arranges travel and accommodations for executives.
  • Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
  • Receives incoming communication or memos on behalf of senior staff, reviews contents to determine the importance, and summarizes and/or distributes contents to appropriate staff.
  • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
  • Maintain executive’s agenda and assist in planning appointments, board meetings, conferences, etc.
  • Attend meetings and document the minutes of the meetings.
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages, etc.)
  • Handle confidential documents ensuring they remain secure
  • Prepare invoices or financial statements and provide assistance in bookkeeping
  • Maintain electronic and paper records ensuring information is organized and easily accessible
  • Conduct research and prepare presentations or reports as assigned
  • Performs other related duties as assigned.

JOB QUALIFICATION

  • Candidate must possess at least a Bachelor's or College Degree in Business administration or relative field
  • Minimum of 2 to 5 years experienced as an Executive Assistant/Executive Secretary or relevant administrative support experience required.
  • Proficient in Microsoft Office Applications
  • In depth knowledge of office management and basic accounting procedures as well as technical vocabulary of relevant industry
  • Familiarity with basic research methods and reporting techniques
  • Excellent organizational and time-management skills
  • Outstanding communication and negotiation abilities
  • Integrity and confidentiality
