DUTIES & RESPONSIBILITIES:
PEME/FLAG/RECEIVING
• Issues of PEME referral and monitors the medical status of the seafarers.
• Ensures that the seafarer has a valid medical certificate stating that he is medically FIT TO WORK for their duties prior to embarkation.
• Receives seafarers’ documents and check their completeness based on Checklist 157 and MANSHIP’s Documents Checklist.
• Verifies the authenticity of seafarers’ licenses, certificates, and other required documents through UV light and online verification on the issuing body's official website.
• Monitors the validity of the original documents of seafarers ashore.
• Advises seafarers about their additional training to be taken.
• Follows up with the seafarer regarding their additional training needed and its schedules.
• Receives training certificates and training billings.
• Endorses the seafarers to the training centers.
• Advises and reminds the seafarers regarding the schedule of their training.
• Keeps and files the training evaluations completed by the seafarers.
• Ensures that seafarers join the vessel with complete training as per the Principal matrix.
• Files flag documents of seafarers.
• Prepares flag documents applications of seafarers.
• Coordinates with the seafarers regarding flag documents applications and requirements.
• Monitors seafarers’ flag validity.

DISPATCHING
1. Maintains and keeps on file all records relating to the POEA processing of seafarers.
· Preparation of seafarer’s employment contract for in-house processing.
· Prepared RPS/OEC.
2. Monitors the POEA watch list for names of seafarers to be deployed.
3. Assists the Documentation Supervisor in preparing and organizing documents of joining seafarers which they need to bring to their assigned vessel, and to ensure that all packages to be given to the seafarers already onboard are given to the joining crew members.
4. Supervises crew departures and when necessary, assists departing seafarers at the airport.
5. Prepares Guarantee Letter for Airlines, Immigration, and Port Authorities.
6. Prepares Transmittal Letters to the Master for crew changes.
7. Prepares Letter Request for Travel Allowance.
8. Ensures that all packages brought in for onboard mariners are properly logged and sent through joining crew members.
9. Handovers to onsigners their travel documents and discuss their flight details, joining ports, and assisting agents.
10. Monitors onsigners and advises crew operators once joining mariners have already checked-in and passed the Immigration Counter. Facilitates the dispatching process for crew members at the airport, if necessary.
11. Compiles the records, employment contracts and medical report formalities of seafarers prior to their departure.
