JOB DESCRIPTION

A2B Outsourcing is looking to hire an experienced EXECUTIVE VIRTUAL ASSISTANT TO THE CEO. Successful candidates will be working for a CEO that operates across 4 continents. This is not a traditional 9-5 role as the company operate across time zones with the CEO and Senior Leadership based in Singapore.  

We need a team member with heaps of common sense who can anticipate the CEOs needs and has a proactive and ‘can-do’ attitude.  

Skills and Qualifications: 

  • You should have 10 years proven track record in aiding a Senior Executive/CEO, in a fast-paced environment (candidate will less than 10 years of experience need not apply) 
  • You will have an excellent command of written and spoken English 
  • You will be able to demonstrate your ability to manage fluctuating priorities, time zones and adapt to changes with professionalism and courtesy. 
  • You will have previously managed calendars across multiple time zones 
  • You will have a keen sense of urgency and attention to detail. 
  • You are Discrete, Dependable and Reliable 
  • You will have worked previously with Google Suite of products and be technically savvy 
  • You will ideally have exposure working within a production/TV environment 

What you’ll be doing: 

  • Assisting the CEO to ensure that activity is prioritise against organisational goals. Establishing with the CEO what activity is important and what is urgent then ensuring the CEO focuses on the right things at the right time. 
  • Manage the CEO’s email inbox. You will be responsible for keeping his emails up to date, replying on his behalf where necessary, flagging anything important for him to action and ensuring every email gets the appropriate level of attention in a timely manner 
  • Act as the gatekeeper for the CEO’s calendar and respond appropriately to changing priorities and timeframes. 
  • Set up meetings/conference/video calls between external stakeholders, customers, partners and Shootsta team members in various country locations 
  • Anticipate the CEOs needs with regards to documents and preparatory information for his meetings and calls 
  • Minute taking at meetings including compiling and circulating Board paperwork and reports 
  • Submitting expense reports and receipts in a timely manner 
  • Coordinate travel for the CEO and wider Leadership team as required. Arrange detailed travel plans, agendas, and compile documents for travel-related meetings 
  • Take on adhoc business and personal administrative tasks as required, including liaising with the CEOs wife for family matters.

Interview process will include a virtual meeting with our CEO, other key stakeholders, including the CEOs wife, and a work sample where you’ll be given a stack of emails and asked to tell us how you’d manage them.

Before A2B Outsourcing was born, our businesses were housed in an existing BPO in the Philippines. We didn’t get the right levels of service, we were paying too much for very little results. The infrastructure also didn’t meet our growing needs and we were constantly having problems with the internet and phone lines. Worst of all, our team was unhappy and uninspired because of the company culture. 
 
While we had business coming in, we had a hard time keeping both our clients and employees happy. So after a few months, we decided to go alone. 
 
Understanding the need for service in our logistics, bookings, dispatch businesses, we were able to bring our existing teams together and build a BPO that satisfies the needs of our businesses. 
 
In about a year, we established our very own BPO company, A2B Outsourcing. We now operate a 200-seat contact centre right in the heart of Clark, Philippines and offer our services to other businesses. And while we specialize in training and managing staff in the logistics and car rental space, we’ve expanded our talent arsenal to accommodate our clients’ financial services, content marketing, video editing and software development needs.
