Position Title:

  • OPERATIONS ASSISTANT

Job Requirements:

  • The candidate must possess a degree in Business related course
  • Working experience in an office environment is an advantage but not a requirement.
  • He/she must have knowledge in monitoring and recordkeeping practices.
  • He/she must be analytical and attentive to details and facts.
  • He/she must have good communication and interpersonal skills.
  • He/she must establish priorities, work independently and proceeds with objectives with minimum supervision.
  • He/she must be proficient in computer applications.
  • He/she must have knowledge and ability to perform a range of standard clerical assignments and resolve recurring problems.
  • He/she must be professional and works with the highest degree of integrity.

Job Summary:

To ensure proper computer operations so that end users can accomplish the organizational task. Problem resolution may involve the use of diagnostics and technical tracking tools. Problem resolution may involve the use of diagnostics and technical tracking tools. This includes receiving, documenting, prioritizing, and actively end user request.

Job Duties and Responsibilities:

  • Receives and records transmittals from extension offices.
  • Transmits documents received from extension offices to concerned departments and vice versa.
  • Checks, counts, consolidate and files proxy to vote.
  • Checks, counts and files signature cards.
  • Files manager’s report and closed/terminated members’ report. Consolidates reports annually for the computation of extension office’s performance rating.
  • Receives documents for signature of the President and Chief Operations Officer.
  • Attends to all operational concerns of extension offices.
  • Composes and distributes office memorandum as per instruction of the President, COO or Operations Manager.
  • Receives, processes and monitors utility billings.
  • Prepares requirements for scheduled meetings. Records and documents minutes of meetings.
  • Prepares the reports needed for the election of Board of Directors.
  • Prepares the awards (plaque, certificate and cash) for branch and extension offices.
  • Safe keeps all important documents/records.
  • Monitors and processes reimbursements of the President.
  • Attends to other tasks assigned.
