Operations Excellence Officer/ Executive Assistant

JOB REQUIRMENTS
-Candidate must possess at least Bachelor's/College Degree in Business Studies/Administration/Management or equivalent.
-Previously worked as an Executive Assistant in an Accounting/Auditing Firm/ Sales, Marketing, Law Firm is an advantage
-Required Skill(s): People Management, Written Communication, Verbal Communication, Supervising, Interpersonal Skills, Technical Skills
-Preferably Supervisor/2 Yrs & Up Experienced Employee specialized in Secretarial/Executive & Personal Assistant or equivalent.
-Applicant will be reporting in Mandaluyong City and must be willing to visit Pampanga twice a week.
JOB RESPONSIBILITIES:
1. Acts as the point of contact between the Senior Managers, internal or external colleagues, LGUs, Suppliers, etc.
2. Books and prepares meeting rooms and takes Minutes of Meetings
3. Attends all departmental meetings most especially related to CSR, Logistics, Credit and Collections, Inventory. Prepares reports on observations for improvement and key points discussed during meetings for submission to the CEO.
4. Handles correspondence, memos, SMS, emails, viber messages, etc. directed to HODs/Managers/Supervisors/other concerned employees.
5. Drafts/produces memos, letters, reports and presentations. Researches for information, data, etc to support these.
6. Maintains the current filing and database system, and looks for ways to improve current systems.
7. May represent Senior Managers by attending meetings on their behalf & speaking for the Senior Manager.
8. Maintains/protects confidentiality of any entrusted information.
9. Assists in monitoring the performance of third-party security personnel
10. Assists in monitoring VIP orders
11. Attends to meals of CEO and CAO
12. Follows through uncompleted tasks in Monday Meetings
13. Makes daily rounds in the office
14. Assists in the implementation of Company Events and CSR projects
15. Prepares NTE for failure to meet sales target
