JOB DESCRIPTION

A Compliance Officer ensures that a company’s operations and business transactions follow all necessary legal and internal rules. A Compliance Officer keeps an organization safe from any violations of applicable laws and regulations, preventing financial penalties and reputational damage.

 

Responsibilities:
• Set up, organize and maintain paper and electronic filing systems in accordance with recognized procedures and standards
o In charge of copying, scanning and filing of all legal documents of the company and clients.
o Ensures the accuracy and completeness of the paper and electronic files.
o Keep record of the physical copies of files as well as recording of all incoming mails and correspondence.
o Keep record of the transmittal of documents sent to inter-department and clients.
• Prepares all required documents necessary for the tasks or projects to be undertaken.
o Creates, format, revise and edit legal documents such as board resolutions, secretary’s certificate, deeds and affidavits.
• Records and monitor deadlines and expiration of certificates and permits being maintained by the company and clients.
• Updates status and track progress of active, current and pending tasks. Makes daily reports.
• Lead the Messengers’ Team
o Plans, schedule and monitor daily appointments and travel arrangements of all messengers.
o Monitors and records daily attendance for submission to HR including leaves availment.
o Prepares holidays schedule and maintenance activities.
o Monitors and records motorcycle gas consumption and maintenance activities.
• Acts as Legal Team budget custodian
o Make request for CASH, monitor its usage and liquidate.
o Track and records the expenses of the company and clients.
o Provide funds to all messengers, monitor their expenses and liquidation
• Provides administrative, legal, client coordination and documentation support to other teams.
o Preparation of required documents for submission to MTC, tracking of progress of each case, funds request, payment and liquidation.
o Coordination with lawyer and other team members involved in the projects.

Qualifications:

• Has experience in Administrative Assistant works (preferably working in law firm or in a corporate under legal department).

• Wide knowledge of Microsoft Office (Word, Excel, Power point, Outlook, etc.)

• Excellent verbal and written communication skills.

• Must be Bachelor's degree in any business-related courses (Legal Management is a plus)

• Good knowledge of legal requirements and procedures.

• Familiar with the SEC, DOLE and BIR processes. With experience in license application from various local government units.

• Highly-analytical with strong attention to detail.

• Willing to work from Monday to Saturday including holidays.
