JOB DESCRIPTION

1.    Responsible for providing administrative and secretarial support to the executives.
2.    Handles domestic and household requirements of the executives.
3.    Coordinates travel schedules, hotel bookings, accommodation, transportation, and medical requirements of the executives and their personal staff.
4.    Responsible for maintaining files and documents of various businesses and personal concerns.
5.    Responsible for banking needs, including coordination with bank managers.
6.    Effectively communicates with clients, lawyers, accountants, brokers, bank managers, and other stakeholders.
7.    Taking minutes, preparation of drafts, and other correspondence that may be required by the executives.
8.    Handles logistics, delivery, and purchasing requirements of the company.
9.    Coordinates with the other EA of the executive on the management and organization of the executive’s calendar.
10.    Ensures timely reminders for deliverables of the executives.
11.    Work closely with the executive staff including the other EA of the executive and accountants.
12.    Provide support to and act as a backup for the executive staff when necessary.
13.    Performs all other tasks assigned.
 
 
 

JOB QUALIFICATION

 
 
 
• A graduate with a bachelor’s degree (4-year degree course)
• With 5 years of relevant experience in office administration and providing support and assistance to the executive level personnel
• With excellent communication skills, both in written and verbal
• With knowledge in business writing, as well as phone and email etiquette
• With excellent interpersonal skills
• With excellent organizational and planning skills
• Has a positive and can-do work attitude
• Efficient in scheduling and calendar organization
• Has a strong work ethic and excellent service orientation
• Proficient in using basic computer applications and basic knowledge in using various social media platforms
• Has connections with various personalities across the retail industry is a plus
• Willing to work in Makati City
