JOB DESCRIPTION
- Answering phones and directing the calls to the correct people
- Greeting visitors and directing them to the appropriate place
- Managing multiple or complex calendars for meetings, travel and personal commitments
- Making travel arrangements for in-office professionals and a special visitors
- Sitting in on meetings to take minutes
- Creating memos, reports and agendas as needed
- Negotiating with suppliers and vendors to gather quotes, order supplies and maintain office inventory
- Disseminating memos, reports and other information to relevant colleagues
- Compile, proofread and revise drafts of documents and reports.
- Daily record keeping and filing of documents.
- Prepare reports, presentations and correspondence accurately and swiftly.
- Create and organize information, and generate reference tools for easy use.
- Operate and maintain office equipment.
- Professionally greet and receive guests and clients.
- Ensure efficient and effective administrative information and assistance.
- Coordinate arrangements, meetings and/or conferences as assigned.
JOB QUALIFICATION
1. Degree in business administration (desirable).
2. 2 years of experience in an executive support role.
3. Thorough understanding of clerical and secretarial principles.
4. Fantastic organizational skills and detail-oriented.
5. Ability to work under pressure and meet deadlines.
6. Brilliant written and verbal communication skills.
7. Proficient in Microsoft Office, and business communication software
